Privacy Policy

This policy explains what information FilingPilot collects, how we use it, and the choices you have. We keep it plain because that’s the point.
1. Information we collect
- Information you give us — your name, email, phone (optional), your LLC’s name and state, and the details a filing requires. Payment is processed by Stripe; we receive a confirmation and the last four digits, not your full card number.
- Automatic information — basic, privacy-respecting analytics (pages visited, device type) to run and improve the site.
2. Public business data & how we contact prospects
Some businesses hear from us before signing up. When that happens, it is because the business appears in a state’s official public open-data of new business registrations (for example, a Secretary of State open-data portal). We use only official public datasets and the public registration facts in them — entity name, address, formation date, entity type. We do not scrape government search portals in violation of their terms, and we do not harvest personal emails or phone numbers to cold-call; we never place robocalls or autodialed calls. Any outreach email clearly identifies FilingPilot as a private company and includes a one-click unsubscribe.
3. How we use information
- To prepare, submit, and confirm your filings and to compute your deadlines.
- To process payment and send receipts and confirmations.
- To provide support and, if you opt in, deadline reminders.
- To operate, secure, and improve our service, and to comply with law.
4. When we share (and never sell)
We share information only with service providers who help us operate (for example, our payment processor and email-delivery provider), with the relevant state agency to make your filing, and where required by law. We do not sell your personal information, and we do not share it for cross-context behavioral advertising. Public open-data records may be used across our affiliated compliance brands, but your customer information (orders, filings, correspondence) is not shared across companies.
5. Email & your opt-out (CAN-SPAM)
Marketing emails include our physical mailing address and a working one-click unsubscribe that we honor promptly. Transactional messages about your filings (quotes, receipts, confirmations) are not marketing and are sent as part of the service. To stop all email, use the unsubscribe link or email support@palavive.com.
6. Your privacy rights (CCPA/CPRA and other states)
Depending on where you live (for example California, and other states with comprehensive privacy laws), you may have the right to know what personal information we hold, to request deletion or correction, and to opt out of any “sale” or “sharing.” Because we do not sell or share personal information for advertising, there is nothing to opt out of on that front — but you may still exercise your access, deletion, and correction rights, and you have the right to be removed from our outreach entirely. To make a request, email privacy@palavive.com; we will not discriminate against you for exercising a right.
7. Security & retention
We collect only what a filing requires, transmit it over encrypted connections (HTTPS), and restrict access. We keep records as long as needed to provide the service, meet legal and tax obligations, and resolve disputes, then delete or de-identify them.
